How do you maintain quality across repeat orders?

A repeat order still needs a controlled specification, a current reference and attention to supplier or material changes.

The short answer

Maintain a clear approved specification and check that the next order still follows it. Reference samples, production records, supplier continuity, inspection criteria and packaging requirements all help. A repeat order should not be assumed to be identical simply because the product name is unchanged.

Keep a usable reference record

  • Approved drawings, dimensions and material requirements
  • Current reference or retained approval samples
  • Artwork, colour and finish instructions
  • Component and product configuration details
  • Inspection criteria and relevant test information
  • Packing, labelling and presentation requirements

Check what may have changed

A supplier can change materials, components, subcontractors or production methods between orders. Personnel and the manufacturing location may also change. Ask about changes that could affect the approved product and record any agreed revisions.

Some changes are not visible in a quotation or photograph. If performance or compliance depends on a particular construction or component, it needs to be part of the controlled specification.

Treat each order as a current instruction

Confirm the quantity, product version, delivery requirements and inspection scope for the new order. An old email chain should not be the only production record. Identify the current documents and retire superseded versions from the instructions.

Useful feedback from previous deliveries should be carried into the next brief. For example, a packing improvement or revised checking point should be recorded explicitly rather than left as a verbal request.
