What happens if there is a problem after the goods arrive?

A clear issue record helps the client, supplier and coordination team assess the problem and possible next steps.

The short answer

TL can help document an issue and coordinate supplier communication within the agreed project arrangements. Depending on the product and circumstances, this may include replacement parts, corrective-action discussions or warranty-related follow-up. The response depends on the issue, supplier terms and applicable obligations.

Record the issue before the details are lost

  • Product, model, order or batch identification
  • Photographs or video showing the issue clearly
  • Quantity affected and when the issue was found
  • Packing and arrival condition where relevant
  • How the product was installed, handled or used
  • The agreed requirement or function that is not being met

Establish what needs investigation

A problem may relate to manufacturing, packing, transport, installation or use. The initial information should help identify what is known and what still needs to be checked. Avoid treating an early assumption as a confirmed cause.

Some matters can be assessed through photographs and supplier discussions. Others may need technical input, additional inspection or further information from the site. Keep the communication linked to the original specification and order records.

Review practical remedies and responsibilities

Possible next steps can include supplier technical guidance, replacement components, repair discussions or another agreed corrective approach. Any cost, timing and responsibility should be clarified before the proposed action is treated as confirmed.

After-sales arrangements depend on the product, supplier terms and the project agreement, alongside any applicable legal rights and obligations. They should not be described as an unlimited warranty or automatic cover for every problem.
