What is an MOQ, and can it be negotiated?

Minimum order quantities reflect manufacturing economics. Flexibility depends on the product, supplier and customisation.

The short answer

MOQ means Minimum Order Quantity: the smallest order a supplier agrees to manufacture or supply on the stated terms. Some MOQs can be negotiated; others reflect material purchasing, tooling or production constraints that cannot practically be reduced.

Why suppliers set an MOQ

  • Minimum material or component purchase quantities
  • Tooling and production setup work
  • Printing, colour or finishing changeovers
  • Custom packaging quantities
  • Assembly, testing and handling requirements
  • The supplier’s production model and capacity

Ask what the MOQ applies to

An MOQ may apply to the total order, each colour, each size, each printed design or a particular packaging format. A headline quantity can be misleading if a range is split into many variations.

Also check whether the MOQ describes an existing product or the custom version you want. Adding a new material, mould, finish or printed carton can change the manufacturing requirement even when the basic product looks the same.

Possible ways to review the requirement

A supplier may consider a trial run, fewer variations, a standard component or an existing packaging format. A smaller run may come with a higher unit cost or separate setup charges. Discuss the whole commercial picture rather than quantity alone.

For repeat supply, a longer-term requirement may be useful context, but future orders should not be treated as guaranteed unless they are actually agreed. Do not approve extra stock simply to meet an MOQ without considering its use and storage.
