How do I know if a Chinese supplier is legitimate?

Check the company’s identity and then assess whether its actual capability matches your project.

The short answer

Use several checks rather than relying on a listing, a certificate image or a persuasive sales conversation. Company registration helps establish identity; samples, facility information and project discussions help assess capability. None of these checks alone guarantees a successful order.

Establish the business identity

Ask for the registered company name in Chinese, business registration details and the entity that will issue the quotation and invoice. The trading name on a website may differ from the registered business name, so the relationship should be explained.

China’s National Enterprise Credit Information Publicity System can be used to review available registration information. Registration is a starting point, not proof that a business manufactures the particular product or can meet your specification.

Check capability against the requirement

  • Is the supplier a factory, a trading company or a combination of both?
  • Which products and processes are carried out at the stated facility?
  • Can it discuss your materials, drawings, tolerances and production requirements?
  • Do samples and relevant documents match the exact product proposed?
  • Is production capacity and timing realistic for your order?
  • Would a factory visit or agreed inspection provide useful confirmation?

Look for a consistent commercial story

Company details, quotations, invoices, payment recipient information and production discussions should be consistent or have a clear explanation. Ask questions when responsibilities are spread across different businesses.

Communication quality also matters. A capable supplier should be able to explain what it can manufacture, what it cannot, and which details need to be resolved before production. Relevant certifications need to be checked for their issuer, scope, product and current applicability.
