What happens after I meet a supplier at a trade show?

Turn the contact into a structured follow-up: clarify the offer, review capability and agree what needs to happen next.

The short answer

The next step is to turn the meeting into a clear sourcing record and follow-up plan. Review the quotation and supplier capability, resolve specifications, arrange relevant samples and agree the commercial and production steps. A good meeting is the start of the work, not production approval.

From contact to project execution

Carry the requirement beyond the exhibition

  1. 01Trade ShowRecord the product and discussion
  2. 02Supplier ReviewCheck identity and capability
  3. 03Quotation & SampleClarify the offer and review the product
  4. 04Specification ApprovalResolve revisions and requirements
  5. 05Production PlanningAgree readiness and coordination
  6. 06Quality ChecksReview against the agreed scope
  7. 07DeliveryCoordinate packing and shipment

Factory visits, additional testing or further sample rounds may be needed between these stages, depending on the product.

Compare like-for-like information

An exhibition quotation may be based on a display item, a standard configuration or an indicative quantity. Ask the supplier to quote against your actual requirements and identify what is included.

When comparing suppliers, use the same product specification, quantity, packaging and commercial basis. A cheaper offer can be for a different material, component or delivery scope.

Close out the open questions

Request drawings, sample details, technical information and relevant documents. Keep feedback and revisions in one current record. If a factory visit would help resolve manufacturing questions, plan it around the processes relevant to your product.

Before production, confirm the approved specification and commercial arrangements. Then establish how production progress, quality checks and shipment readiness will be followed.
